SUPERVISOR FINANCE CLINICAL RESEARCH

The Clinical Research Finance Supervisor (CRFS) assists in overseeing clinical research finance operational activities.
The CRFS assures all clinical research conducted reflects best practices and industry standards.
Assists in ensuring that proposed projects meet the mission and vision Hoag and all Clinical Research stakeholders.

The CRFS supports the Clinical Research Office and with minimal direction and considerable use of independent judgment, the CRFS will utilize financial concepts, communication skills, and experience/knowledge of the clinical research enterprise to provide clinical research finance services.
This role will support the development of projects and processes from study initiation through completion by collaborating with investigators and other stakeholders.
This position will require excellent communication and organizational skills, and solid foundational, financial, and operational knowledge in clinical research.
Works efficiently to ensure accounts are worked thoroughly and within a timely manner.
Thrives within a team atmosphere, has strong customer service expertise, has a strong ability to multitask and has proficient computer skills.

Essential Functions

  • Responsible for assisting with recruitment and hiring, and directly managing all clinical research staff including coaching, counseling, oversight of daily activities, performance reviews as well as assisting with termination decisions
  • Manage the day-to-day clinical research finance operations, and handle issues as they arise.
    Be knowledgeable of study protocols to complete study activities correctly and completely.
    Responsible for work flow, staffing, meeting productivity goals, department policies and procedures, contribute towards Hoag s organizational goals, and interface with other departments to achieve research goals.
    As well as sponsor communication, attendance at study specific meetings.
    Interact daily with team to assure study billing compliance.
  • Assists department, service line, or strategic focus area with administrative and financial activities associated with research or other sponsored projects.
  • Creates and Maintains Clinical Trial Activity codes for the use of General Ledger Account oversight and reporting
  • Perform accounts payable and accounts receivable tasks for study fund accounts (i.
    e.
    invoice sponsor for earned milestone payments, monitor sponsor payments, review and initiate payment for research study bills.

  • Monitors that study participants of active studies are associated to the respective study records in Epic and that the statuses of those participants are maintained
  • Monitors that study related transactions in the patient billing system are reviewed in a timely manner
  • Facilitates the process by which transactions noted as payable by a study account are communicated to Patient Financial Services for posting and journal entry purposes
  • Serves as a liaison between study teams and Patient Financial Services
  • Investigates observations and questions of Patient Financial Services regarding study participant claims that are pending or denied
  • Assists with (a) invoicing the sponsor, reconciliation of payments received, and assuring proper application of this data into the CTMS and (b) reconciling the study financial information in Velos
  • Assists with budget-to-actual analyses and financial projections.
    Communicates directly with investigators and department leaders about study budgets, study financial positions and budget projections Builds and maintains inter-departmental and stakeholder relationships.
  • Attends meetings, meets with colleagues, attends educational activities, and keeps current on state of the research industry.
  • Performs other duties as assigned.
  • Designs, implements and manages a system for organizing, planning workflow related to all research finance activities.
    Prepares and presents summary of clinical trial activities if needed
  • Responsible for the development of research Budgets, Contracts, Professional Service Agreements and maintenance of ongoing clinical trials including preparation of Coverage Analyses
  • Ensures clinical research billing, coding compliance, and reimbursement of patients enrolled in clinical research studies
  • Oversight of Federally Funded research study accountability including invoicing, review of scheduled payments, time and effort reporting and communication with Award Recipient
  • Understands and keeps current with FDA and Medicare regulations and/or third-party insurance applicable to clinical trials
  • Responsible for budget-to-actual analyses and financial projections.
    Communicates directly with investigators and department leaders about study budgets, study financial positions and budget projections Builds and maintains inter-departmental and stakeholder relationships.
  • Ensures clinical research billing, coding compliance and reimbursement of patients enrolled in clinical research studies
  • Facilitating Charge Review, Adjustments and Corrections
  • Manages efforts to ensure any clinical research study with billing risk has a Billing Grid in the CTMS and a unique study record in Epic

Education, Training and Experience

Required:

High school diploma or equivalent with 1-2 years of billing and research experience.

Preferred

Bachelor's degree in Accounting, Finance or equivalent experience in a related field and minimum of 1 year clinical research experience; or an equivalent combination of education and experience.

Skills or Other Qualification

Required

Analytical, critical thinking and sound decision making skills.

Proficiency in Microsoft Outlook, Excel, Word, PowerPoint, accounting software, and excellent with databases

Ability to communicate in a clear and professional manner.

Strong interpersonal and organizational skills.

Ability to work accurately in a high-volume processing environment under pressure and on deadline

Estimated Salary: $20 to $28 per hour based on qualifications.
